From “how much?” to booked: turning patient enquiries into appointments

Most enquiries arrive as a short question on WhatsApp or social media. How you answer decides whether that person books with you — here is a simple, respectful way to guide them.

Many patient journeys begin with a one-line message: "How much is laser?" or "Do you do fillers?" It is easy to answer the question and stop there. But the person asking is usually deciding where to go — and a bare answer leaves them to keep shopping around.

A good reply answers the question and helps the patient take the next step.

Answer the question first

Patients notice when a clinic avoids their question. If they ask about cost, explain how pricing works for that treatment — for example, that it depends on the area treated or the number of sessions — and what is included. Clear, honest information builds trust faster than anything else.

Then add one helpful detail

Show that a person thought about their message:

  • What the first visit involves.
  • How long the treatment takes.
  • Whether a consultation comes first.

One or two useful sentences are enough. Long paragraphs on a phone screen get skipped.

Offer a clear next step

End every reply with an easy action:

  1. Suggest two or three available times, rather than asking "when are you free?"
  2. Offer a short consultation if the patient is unsure.
  3. Make it obvious how to book — one link or one place, not a list of options.

Keep the conversation in one place

When enquiries are spread across WhatsApp, Instagram and phone calls, details get lost and patients repeat themselves. Decide where enquiries should end up, and make sure the whole team works from there.

A patient who has to ask twice usually doesn’t ask a third time.

Follow up once — politely

If someone goes quiet after asking, a single friendly follow-up a day or two later is welcome. More than that feels like pressure.

Where SmartCordinator fits

SmartCordinator gives patients one place — your clinic’s app or patient portal — to ask questions and book. The AI answers in Arabic or English from the information your clinic provides, offers real available times, and your team confirms every booking. Enquiries become appointments without anyone chasing messages across apps.

Start by reviewing ten recent enquiries: did each reply answer the question and offer a next step? That one habit makes a noticeable difference.
