Fewer no-shows: a practical checklist for dermatology clinics

Every empty slot is lost time for your doctors and a patient who didn’t get care. Use this checklist to make missed appointments the exception, not the routine.

A missed appointment hurts twice: the doctor’s time is lost, and a patient who needed care did not receive it. Most no-shows are not careless — people forget, plans change, or the booking never felt quite real.

The good news is that a few simple habits prevent most of them. Use this checklist to review how your clinic books and confirms visits.

Before the booking is made

  • Offer real availability. Patients who choose from actual open times commit more than those who are told "we’ll call you back with a time."
  • Make booking easy at any hour. Many people decide in the evening; if they can’t book then, the intention fades.
  • Confirm the details back. Treatment, doctor, branch, date and time — in the patient’s language.

Between booking and visit

  • Send a clear confirmation straight away, with the address and how to prepare.
  • Remind patients before the visit. A timely reminder is often all that is needed.
  • Make rescheduling simple. A patient who can easily move their appointment frees the slot for someone else instead of simply not coming.

On the day

  • Prepare in advance. If you already know the patient’s answers to your screening questions, the visit starts on time and runs smoothly.
  • Keep the welcome consistent, so first visits feel organised from the door.

After a missed appointment

  1. Follow up the same day with a friendly message — not a reprimand.
  2. Offer the next available time.
  3. Note the reason when the patient shares it; patterns tell you what to fix.

Treat no-shows as information, not just a cost. The reasons patients give are your best guide to a smoother booking process.

Putting it into practice

You don’t need to change everything at once. Start with confirmations and reminders, then make rescheduling easier. SmartCordinator helps here by guiding patients through booking in chat using your real availability, confirming the details in Arabic or English, and keeping your team in control of every request.

Review your no-shows each month. If the same time of day, treatment or step keeps appearing, you know exactly where to focus next.
